How to Copy and Paste on a Mac Using a Keyboard Shortcut

If you’ve been a long-time Windows user and have just recently started using a Mac, pressing CTRL + C and CTRL + V for copy and paste respectively is already thoroughly ingrained — so much so that you probably tried using the same key combinations on your Mac until you realized the CTRL key has been replaced with a key labeled “control.”

Don’t panic. While the Control key doesn’t have the same function on Macs as it does on Windows, there’s an equally quick way to perform copy and paste on a Mac and that is by pressing Command + C (⌘ + C) and Command + V (⌘ + V).

If you don’t want to be bothered with constantly pausing and reminding your fingers to use Command instead of the Control key, or if you want to use a Windows-based keyboard that doesn’t have a Command key to begin with, you can remap your Mac keys so that you can assign a different key for performing copy and paste on your Mac.

To remap your Mac keys:

  1. Go to the Apple Menu
  2. Open “System Preferences”
  3. Click on “Keyboard”
  4. Select “Shortcuts”
  5. Click on “Modifier Keys”
  6. Go to the “Command” field
  7. Click on the drop-down menu
  8. Select “Control”
  9. Click “OK”

Please note that while remapping your Mac keys this way will apply the changes to the whole system, there are certain applications where it may not work. To ensure that your preferred keyboard shortcut for copy and paste on your Mac will also work on your frequently used applications:

  1. Go to the Apple Menu
  2. Open “System Preferences”
  3. Click on “Keyboard”
  4. Select “Shortcuts”
  5. Select “App Shortcuts”
  6. Click the “Add” button (the one with the + sign)
  7. Select the app or apps for which you want your preferred keyboard shortcuts to be used.
    • If you can’t find your favorite application on the list, click “Other” then use the “Open” dialog box to search for it.
    • If you want your preferred shortcut for copy and paste to apply to all applications, just click on “All Applications.”
  8. In the “Menu Title,” type in the command for which you want your shortcut to work (for example, type “Copy” if you want to assign a keyboard shortcut for copying and “Paste” if you want a keyboard shortcut for pasting things). Please make sure that you write the menu title exactly the same way the command is written on your favorite application’s menu (including capitalization and spaces).
  9. Next, go to the “Keyboard Shortcut” field, then press the key combination that you want to use for the keyboard shortcut while you’re in the empty box beside it.
  10. Click on “Add”

How to Copy and Paste on a Mac Using a Apple Magic Mouse

Many Windows users, employing a two-button mouse, know to right click in order to copy and paste. However, mice that come with Macs have only one button. The easiest way to copy and paste using a Magic Mouse is as follows:

On Windows-based PCs, you usually do this by highlighting the text that you want to copy, pressing on the lower right corner of your trackpad which is equivalent to performing a right-click with your mouse, then selecting “Paste” from the menu.

On Macs, the process is similar: highlight the text that you want to copy, use two fingers to lightly tap around the center of your trackpad to bring up the contextual menu (the popup menu that appears when you initiate a “Control + mouse click), then selecting “Paste” from there.

Excel Paste Special Example

Here I have an excel table that is formatted and has formulas in it.

Now press the shortcut CTRL+ALT+V in windows to open the paste special shortcut. On Mac use the above mentioned shortcut.

I want to just paste the values. I hit the V key (V is underlined on Value option). The value option is selected. When I hit the Enter button, I get naked values. It does not have any formatting or formulas.

On Mac, we use the command+V key to select Value.

To paste just formatting, press the T key (T is underlined for Formats). It pastes the formatting of the copied range to the selected range.

On Mac, use the command+T key to select Value.

Similarly, we can do all of the tasks in using just the keyboard with the paste special shortcuts options.

Paste Special from non-Excel source

Many times we copy data from other sources, like the internet or any other application. In those cases, if you directly paste using CTRL+V, excel will most likely paste all the components of source like formatting, checkboxes, radio buttons, etc. which is undesirable (in most cases). You would probably like to paste values only. In that case, you will use paste special. When using the paste special, here you will get only three options; HTML, Unicode Text, and Text.

The default is an HTML option, which will paste everything you copied. Others are Unicode Text and Text (press T for selecting Text). These two options will paste plain text, that we desire most of the time.

The difference in Text and Unicode Text is that Unicode Text uses Unicode to convert ASCII values into text and symbols. The ASCII Text is useful when we work with multinational data or Mathematical and Scientific data.

The Sequential Shortcut For Paste Special

This one is old but I frequently use it. If you hit the keys ALT--> E-->S, one by one, it will open the Paste Special menu. This is an old command that was used in Excel 2003 but it is still compatible. Afterward, the process is the same.

The second method is also quick, but it at times copies the folder instead of making the shortcut. Anyways, here are two easy ways to create desktop shortcuts on Mac running macOS Catalina.

How to Create Desktop Shortcuts on Mac

Step #1. Decide which folder’s or app’s desktop shortcut you want to create. Find where the folder is located. If you cannot find it, see the end for instructions.

Step #2.Right-click on the folder or app name and click on Make Alias.

Step #3. You will see that a shortcut is immediately created for that folder or app. Press enter key. It has the word alias at the end of the name.

Step #4. Drag this shortcut to your desktop or Dock. You may also copy the shortcut and paste it on the desktop.

This is it!

You have successfully created the desktop shortcut for a folder or app. Now you may quickly use this to open that folder, or launch the app. You may repeat this with as many folders and apps you like.

If you wish, you may select the shortcut, press the enter key, and rename it to remove the word ‘alias.’

Finally, if you wish to see the original folder, right-click on the shortcut icon and click on Show Original.

Note 1: Even if you move the original folder to some other location, the shortcut you created still works. Beautiful! Isn’t it.

Note 2: You may use this method to create shortcuts even for files like image, document, zip, music, movie, etc.

Not able to Find the Folder Location?

Finding applications is clear. You click on FinderApplications, and there you have all your applications. Knowing the location of the Folders you create is also straightforward.

But for some folders, especially system folders like Downloads, Documents, etc. it may be a bit tough to know the path. Here are some ways to know it.

#1. From Sidebar: Launch Finder, place your pointer on the folder name in left Sidebar, and then right-click. Finally, click Show in Enclosing Folder. Now follow the above steps.

#2. Using Path Bar: Be inside Finder and click on View from the menu bar. Now click Show Path Bar. A tab will be added to the bottom of the Finder. It has the location/path for the folder you click or select.

#3. Use Spotlight Search: Launch Spotlight Search by clicking the search icon in menu bar or press Command (⌘) + Space Bar. Now type the folder name and then scroll to the bottom of the search result and click on Show all in Finder… Click on the folder and follow the above steps to make its shortcut.

#4. Use Siri: I do not like Siri on Mac, notably older Macs. Anyways, you may ask Siri on Mac to ‘Show Download Folder’ (or any folder) and then go to the bottom of the result and click on Show all results in Finder… Now you may follow the above steps. Please note that this does not always work.

Create Desktop Shortcuts on Mac Using Drag and Drop

The above method is swift and simple. It is the one I prefer. However, there is an additional way to create folder and app shortcuts on Mac.

Step #1. Be at the location of the folder or app you want to create the shortcut of.

Step #2. Press and hold Option (⌥) + Command (⌘) key together. Do not leave the hold. Now click on the folder or app and drag it to the desktop.

Note: When you use this method, there are chances that you may unwillingly and unknowingly copy or move the folder instead of making its shortcut. Don’t worry. Press Command (⌘) + Z to undo and try again, or use the first method.

Add Folder Shortcuts to Dock on Mac

I recently wrote a post where I explained how to add website shortcuts to Dock on Mac. It is an interesting article. Similarly, you may add shortcuts to your Dock too.

Follow any of the above methods and make the shortcut of the folder or app (you may directly add an app to Dock, but anyway). Now drag that shortcut from Desktop to the rightmost part of Dock (Second left to the Trash icon).

Wrapping up…

These were two easy ways to create shortcut icons on Mac. There is a third method that I know of, which requires Terminal and some command lines. However, it is tricky and beyond the simplicity of the average user. Also, if you change the folder location, the shortcut stops working. So I did not mention this method.

Secondly, on Macs running OS versions before Catalina, you may also click on a Folder or App and then press together Command (⌘) + L. It will instantly make the alias. It works on my old MacBook Pro running macOS Sierra, but on a different MacBook Pro running the latest version of macOS Catalina, this quick method does not seem to work.
